Tracking and receiving requests

Receiving Loans

When a loan request arrives at ECU library from a supplying library, you will receive an automatic alert to your ECU email  indicating the item has been dispatched and is on its way to your campus library hold shelf. Please allow 2 to 3 days delivery time for Mt Lawley and Bunbury campuses. For remote staff and students within Australia your loan item will be posted to you.

**IMPORTANT: Items not collected within the 7 day hold period will be returned to the supplying library.

 

Overdue items

Items must be either returned to the ECU Library by the due date, or borrowers must contact Document Delivery (see details below) before the due date to request a renewal. If users have not returned an item by 14 days after the due date, they will be blocked from using VDX until the item is returned as above.

 

Receiving copies

When a copy request arrives from a supplying library, you will receive an automatic alert to your ECU email instructing you to collect your document online from the VDX Document Store – see instruction below. If there is no PDF link on your copy request, a printed copy of the document has been received. Copies are supplied in print because the publisher of the journal/book has stipulated print only supply in their licensing agreement with the library supplying the document.  You will receive an email from Document Delivery staff to collect your document from your home campus library. As with loan items please allow 2 to 3 delivery time for collection from Mount Lawley and Bunbury campuses. For remote clients the printed copy will be posted to your home address.

Retrieving copies form VDX.
 

1. In VDX under My Account, click on My Requests

Requests can be sorted by ILL No. (i.e. request id number), Author, Title or Need by date. You can also search for a specific request by typing the ILL No. in the “Jump to ILL” box then press the Enter key.



2. The item shown below is a journal article with a Status of Received. Click on the PDF link to view the document. You will be prompted to accept the Copyright conditions – click OK. The PDF will open in another window using a PDF viewer (e.g. Adobe Acrobat Reader) which is installed on ECU computers.

Note: Copies will disappear 5 days after first being viewed, or after being opened 5 times, so download and print them immediately! 

3. Click on Next Request:

With a status of Received, this indicates the loan item has been despatched and is on its way to your nominated campus library Hold Shelf to be collected (or home address for eligible remote students within Australia).


 

Did you know?

  • You may Cancel a request providing it hasn’t yet been Shipped by the supplying library. 
     
  • You may also contact ECU Document Delivery staff to renew an item. However library lending policies vary and your request to renew a loan may be refused. 
     
  • PDF copies will disappear 5 days after first being viewed, or after being opened 5 times, so download and print them immediately!

Status Messages

The following Status messages may appear on your requests:

New

The ILL requesting process has not yet started.

Pending

The ILL process has started but your request is still pending.

Shipped

The ILL supplier has sent the item but it is not yet received.

Received

The item has been received at ECU and is on its way to you.

Renewal Requested

ECU library staff have asked for a renewal at your request.

Overdue

Your request is overdue and must be returned immediately.

Returned

The item has been sent back to the supplying library.

Recalled

The supplying library has asked for the item to be sent back – please return it to any ECU campus library immediately.

Lost

The requesting or supplying library has reported the item is lost or it never arrived.

Damaged

The requesting or responding library has reported the item is damaged.

Cancelled

For whatever reason your request is now cancelled.
